QuietRoom
Concept · An encrypted practice diary for solo therapists and hypnotherapists. Session notes, package balances, late-cancellation enforcement, and per-client bespoke audio — all GDPR-clean and SAR-ready, the way Cliniko isn't.

The problem
Solo therapists and hypnotherapists run their entire clinical life on goodwill and Notes.app. Session notes scatter across Google Docs, paper diaries, and the occasional WhatsApp self-message. Package balances live in their head. Late cancellations cost real money but the awkward conversation costs them clients. Hypnotherapists email bespoke MP3s with no expiry or watermark — a GDPR breach waiting to happen. The ICO is unforgiving and being struck off is the quiet 3am fear.
What we built
QuietRoom is the calm, encrypted workbench a solo practitioner actually wants on their iPad between sessions. Every client has a single locked file: intake, consent record, package balance, structured session notes, and — for hypnotherapy — a vault of bespoke audio recordings with watermark and 30-day expiry. Late cancellations auto-flag against your 24h policy with a one-tap charge or waive. ICO registration sits front-and-centre. Subject Access Requests export in one click, fully redacted of third parties. It is deliberately not a calendar — Cliniko and Calendly already do that. It's the bit they don't.
What it does
Features, no fluff.
Encrypted client file — intake, consent, package balance, structured notes, all in one locked place
Package tracking — '4 of 6 sessions used', auto-prompt when it's time to renew
Late-cancellation enforcement — flagged against your 24h policy with one-tap charge or waive
Bespoke audio vault (hypnotherapy) — per-client recordings with watermark, listen-only links, 30-day expiry
Between-session check-in — a private link your client uses to log mood / sleep / homework, you see the chart at the next session
ICO compliance status panel — registration number, retention policy, breach-log shortcut
One-click Subject Access Request export — auto-redacts third-party names from notes
Deliberately not a calendar — pairs with Cliniko, Calendly, or Square; doesn't fight them
